Email Communications Terms
These terms govern email messages sent by Proficient Plus LLC and applicable Proficient Plus products, including SanctuaryHub, where Proficient Plus is the sender.
About these Email Terms
These Email Communications Terms (“Email Terms”) apply when Proficient Plus LLC (“Proficient Plus,” “we,” “us,” or “our”) sends you email communications in connection with our business, services, products, customer relationships, or communications to which you have subscribed.
These Email Terms supplement our Privacy Policy, Website Terms of Service, and applicable product-specific terms, notices, or agreements. Where a separate signed agreement applies to a product or service, that agreement continues to govern matters within its scope.
These Email Terms do not automatically govern emails sent independently by a SanctuaryHub tenant, such as a church or ministry, to its own members or recipients.
Types of email communications
Depending on your relationship with Proficient Plus and the preferences you have selected, we may send emails relating to enquiries and consultation requests; proposals or service discussions; customer onboarding; account administration; billing or commercial administration; product or application notifications; service updates; customer support; security or operational notices; requested reminders; scheduled meetings or appointments; training or event information; Proficient Plus services; Proficient Plus products, including SanctuaryHub; and promotional or marketing communications where permitted by applicable law.
The type and frequency of email you receive will depend on your relationship with Proficient Plus and the communications you have requested or agreed to receive.
Transactional and service-related emails
Some email communications are necessary to provide or administer a product, service, account, or existing business relationship. These may include account activation; password or authentication notices; security alerts; service availability notices; administrative communications; subscription or billing notices; customer-support responses; contractual communications; product onboarding; required legal notices; and other messages reasonably necessary to provide an active service.
Because these messages are operational or transactional, they may continue even if you unsubscribe from promotional emails. Where possible, we seek to limit transactional emails to information reasonably necessary for the applicable relationship or service.
Marketing and promotional emails
Proficient Plus may send promotional or marketing emails where permitted by applicable law and, where required, after obtaining appropriate consent. Marketing emails may include information about Proficient Plus services; new products or product features; SanctuaryHub updates; educational content; events or training; offers or promotions; company news; and other business information that may be relevant to recipients who have subscribed.
Consent to receive transactional or service-related communications does not automatically constitute consent to receive unrelated marketing communications.
Consent and subscription
Where consent is required for marketing or other optional email communications, Proficient Plus may collect consent through methods such as an online subscription form; a consultation or enquiry form with a separate email preference; a customer onboarding workflow; a product or account preference setting; an event registration form; another affirmative subscription process; or another method permitted by applicable law.
Where email consent is collected through a form, the consent should be presented clearly and separately from unrelated terms where appropriate. Subscription records may include email address; date and time of consent; source of consent; communication categories selected; applicable consent language; applicable policy or terms version; and later unsubscribe or preference changes.
Email frequency
Email frequency varies. The number of emails you receive may depend on the products or services you use; account activity; customer-support interactions; notifications you have enabled; events or training for which you registered; the communications you subscribed to; and the nature of your business relationship with Proficient Plus. We seek to avoid sending unnecessary or excessive communications.
Unsubscribing from marketing emails
You may unsubscribe from applicable promotional or marketing email communications at any time by selecting the Unsubscribe link in the applicable email; updating your communication preferences where available; or contacting Proficient Plus.
After an unsubscribe request is processed, we will stop sending emails covered by that subscription unless you later subscribe again. We may retain limited information necessary to maintain an email suppression record and honor your preference. Unsubscribing from marketing emails does not necessarily stop transactional, account, security, legal, support, or service-related communications that remain necessary for an active relationship.
Communication preferences
Where available, Proficient Plus may allow recipients to manage different categories of email independently — for example, product updates, service announcements, event information, training information, marketing messages, or other optional communications. This allows recipients to reduce optional communications without necessarily disabling necessary account or service messages.
Re-subscription
If you unsubscribe from an optional email program and later wish to receive those communications again, you may need to affirmatively re-subscribe through a new email subscription form; an authenticated communication preference setting; another affirmative consent method; or another process made available by Proficient Plus. A prior unsubscribe request will not be treated as withdrawn until a valid new subscription preference is recorded.
Email delivery
Email delivery depends on networks, email service providers, recipient systems, spam filters, security controls, mailbox availability, and other technologies outside Proficient Plus’s direct control. We do not guarantee that every email will be delivered, delivered immediately, delivered to the primary inbox, free from filtering, or displayed correctly by every email client. Messages may be delayed, rejected, filtered, quarantined, or classified as spam because of circumstances outside our reasonable control.
Your responsibilities
When providing an email address to Proficient Plus, you are responsible for providing an address you are authorized to use; keeping relevant account contact information current; not subscribing another individual without authorization; maintaining the security of your email account; and reviewing applicable communication preferences where available. If an email address changes ownership or is no longer under your control, you should update your account or communication information where applicable.
Privacy
Proficient Plus handles personal information associated with email communications in accordance with our Privacy Policy. Information processed in connection with email communications may include email address; name; organization; communication preferences; subscription and unsubscribe records; email content; delivery status; timestamps; support correspondence; message interaction information where applicable; and records reasonably necessary to operate and secure the email service.
Proficient Plus does not sell personal information. We may disclose information to email-delivery providers, hosting providers, infrastructure providers, security providers, and other service providers acting on our behalf where reasonably necessary to send, receive, secure, monitor, or administer email communications. For additional information, see our Privacy Policy.
Email service providers
Proficient Plus may use third-party providers to assist with email communications. Depending on the service, these providers may process information such as recipient email addresses; message content; timestamps; message status; delivery failures; bounce information; unsubscribe requests; and technical information needed to deliver or secure email. These providers may process such information only as necessary to provide services to Proficient Plus or as otherwise permitted or required by law.
Deliverability, bounces, and suppression
To protect recipients and maintain reliable email delivery, Proficient Plus may maintain records of hard bounces; repeated delivery failures; spam complaints; unsubscribe requests; invalid addresses; and suppression status. We may stop sending to an email address where continued sending could violate a recipient preference; create deliverability problems; generate repeated failures; violate provider requirements; or create security, fraud, or abuse concerns. Suppression records may be retained as reasonably necessary to prevent unwanted or invalid communications from resuming.
Proficient Plus products, including SanctuaryHub
Proficient Plus may send emails relating to products it owns or operates, including SanctuaryHub. Examples may include SanctuaryHub account activation; tenant onboarding; administrator notifications; password or security notices; product or feature updates; service availability notices; support communications; subscription administration; training or implementation information; and other communications related to a customer’s use of SanctuaryHub.
These Proficient Plus-originated emails are distinct from tenant-originated communications. A SanctuaryHub tenant, such as a church or ministry, may use the product to send emails to its own members or recipients. In such circumstances, the tenant may be the sender; may determine the recipient audience and message purpose; may be responsible for applicable consent and communication practices; tenant-specific notices or terms may apply; and the communication should not automatically be treated as a Proficient Plus corporate email. You can learn more about SanctuaryHub at sanctuaryhub.io.
Security
Proficient Plus may use reasonable security measures to protect its email systems and reduce spoofing, phishing, spam, malware, unauthorized account use, fraudulent messaging, and other malicious activity. These controls may include sender authentication; domain security controls; access controls; monitoring; abuse detection; rate limiting; anti-spam protections; and other technical or administrative safeguards. Recipients should exercise appropriate caution with unexpected emails and should not provide passwords, authentication codes, or other sensitive information in response to suspicious messages.
No guarantee against impersonation
Although Proficient Plus uses reasonable measures to protect its domains and communications, malicious third parties may attempt to impersonate businesses or individuals through fraudulent emails. If you receive an email that appears suspicious or inconsistent with your relationship with Proficient Plus, you should verify it through an official Proficient Plus contact channel before acting on it.
Changes to email communications
Proficient Plus may change, suspend, or discontinue particular email programs or features. We may also change email service providers; sending domains; email addresses; message categories; subscription options; or communication processes. Where required by law, we will provide appropriate notice of material changes.
Changes to these Email Terms
We may update these Email Terms from time to time to reflect changes in our communications practices, products and services, technology, legal requirements, email-provider requirements, or business operations. When we update these Email Terms, we will revise the Last updated date shown above. Where required by law, we may provide additional notice.
Relationship to other terms
These Email Terms supplement the Proficient Plus Privacy Policy, Website Terms of Service, and applicable product-specific terms and agreements. Where a separate signed agreement applies to a product or service, that agreement governs matters within its scope. Nothing in these Email Terms limits rights that cannot lawfully be waived.
