Contact forms & bot protection
Our website may use automated-abuse protection, including Cloudflare Turnstile, to help distinguish legitimate submissions from automated or malicious activity. To provide this protection, technical information associated with a request may be processed by Cloudflare on our behalf. This information may include information needed to assess whether a submission appears automated or abusive.
We use these protections to maintain the security and availability of our websites and forms. We do not use Cloudflare Turnstile to build advertising profiles about website visitors.
SMS & mobile information
Proficient Plus may provide SMS communications relating to its business, products, services, customer relationships, onboarding, support, account activity, application notifications, service notifications, and other purposes disclosed when a recipient chooses to receive SMS communications.
This may include communications relating to Proficient Plus products such as SanctuaryHub where Proficient Plus is communicating directly with its customers, tenant administrators, authorized users, or other individuals who have consented to receive the applicable messages.
Where SMS consent is required, Proficient Plus seeks to obtain consent separately and in a manner appropriate to the type of communication being sent. Depending on the recipient’s relationship with Proficient Plus and the consent provided, SMS communications may include account and onboarding notifications; product or application notifications; service-related updates; administrative notifications; customer-support communications; requested alerts or reminders; security-related notifications; communications relating to an active business relationship; and other communications specifically disclosed when consent is obtained.
Message frequency may vary depending on the services used and the communications requested. Message and data rates may apply according to the recipient’s mobile plan. Recipients may opt out of applicable SMS communications by replying STOP or by using another opt-out method we provide. Recipients may reply HELP for assistance where supported or contact Proficient Plus using the contact information provided in this Privacy Policy. You can opt in through our SMS Opt-In page.
Mobile information and SMS consent
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with third parties or affiliates for marketing or promotional purposes.
Proficient Plus does not sell or share mobile telephone information, SMS opt-in information, or SMS consent information with third parties or affiliates for their own promotional or marketing purposes.
We may disclose mobile information to telecommunications carriers, messaging service providers, infrastructure providers, and other service providers acting on our behalf only where reasonably necessary to deliver SMS communications; process inbound messages; maintain consent and opt-out records; monitor delivery; prevent fraud or abuse; provide technical support; or comply with applicable legal and telecommunications requirements.
These providers are permitted to process such information only as necessary to provide services to Proficient Plus or as otherwise permitted or required by law. SMS opt-in and consent information is not shared with third parties for purposes unrelated to providing or supporting the messaging service to which the recipient subscribed.
Consent to receive SMS communications is not a condition of purchasing Proficient Plus products or services unless expressly disclosed for a particular optional service feature where SMS functionality is requested by the user. Additional information governing Proficient Plus SMS communications may be provided in our SMS Communications Terms.
Email communications
Proficient Plus may send email communications relating to enquiries or consultation requests; customer onboarding; account administration; products or services requested by the recipient; application or service notifications; customer support; security or operational information; contractual or administrative matters; events or other communications the recipient has requested; and marketing communications where permitted by applicable law and, where required, with appropriate consent.
Where an email communication is promotional or marketing in nature, recipients may unsubscribe using the mechanism provided in the message or by contacting us. Certain transactional, security, account, legal, or service-related communications may continue where they are necessary to provide a requested service or administer an existing relationship. We may use approved email-delivery providers and infrastructure to send, receive, route, and monitor business communications. Additional information governing applicable email communications may be provided in our Email Communications Terms.

Where we use information for a materially different purpose, we will provide additional notice where required.
Legal bases
Where applicable law requires a legal basis for processing personal information, Proficient Plus may rely on one or more of the following depending on the circumstances:
- Performance of a contract: where processing is necessary to provide a product or service or administer a contractual relationship;

International processing
Proficient Plus and approved service providers may process information in jurisdictions other than the jurisdiction in which the information was originally collected. Where applicable law requires safeguards for international transfers of personal information, we seek to use appropriate contractual, organizational, or other legally recognized safeguards.

We may retain records of SMS or email consent, unsubscribe requests, opt-out requests, and suppression status for as long as reasonably necessary to honor a person’s communication preferences; avoid sending communications after an applicable opt-out; maintain evidence of consent or withdrawal; and comply with applicable legal, telecommunications, or communications requirements. Retention periods may vary depending on the type of information, the purpose for which it is processed, contractual requirements, and applicable law.

Proficient Plus maintains administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, disclosure, alteration, loss, misuse, or destruction. Depending on the system or service involved, safeguards may include encrypted transmission; access controls; authentication controls; least-privilege practices; secure software-development practices; logging and monitoring; vulnerability management; backup and recovery controls; incident-response procedures; and security reviews of relevant providers.
No method of electronic transmission, storage, or processing can be guaranteed to be completely secure. We therefore cannot guarantee absolute security, but we work to protect information entrusted to us using safeguards appropriate to the nature of the information and associated risks.

Depending on where you live and applicable law, you may have rights relating to your personal information. These rights may include the right to request access to personal information we maintain about you; request correction of inaccurate information; request deletion of certain information; request restriction of certain processing; object to certain processing; request portability of certain information; withdraw consent where processing is based on consent; and opt out of certain communications.

Children
The Proficient Plus corporate website and corporate communications are not directed to children, and we do not knowingly use the corporate website to solicit personal information directly from children.
Certain Proficient Plus products or customer implementations may support organizations that maintain information about children or families. Where applicable, those activities are governed by the relevant product documentation, customer agreements, product-specific privacy notices, organizational controls, and applicable law. If you believe that a child has provided personal information directly to Proficient Plus through the corporate website or another channel in circumstances where it should not have been collected, please contact us so that we can review the matter.
Sale, advertising & marketing disclosures
Proficient Plus does not sell personal information. The Proficient Plus public website does not currently use third-party behavioral advertising. Proficient Plus does not sell or share mobile telephone information, SMS opt-in information, or SMS consent information with third parties or affiliates for their own promotional or marketing purposes.
Where Proficient Plus sends marketing communications, we will do so in accordance with applicable law and any consent requirements that apply to the communication. Recipients may withdraw applicable marketing consent or unsubscribe using the methods provided in the communication.
